Job Description

The Executive Assistant will work directly with the CEO in addition to select executives on a case by case basis. The ideal candidate is highly self-motivated, professional, maintains a high attention to detail and capable of managing their workload and multi tasking in a fast paced environment.

 

Responsibilities

  • This role covers a wide variety of administrative tasks that facilitate the CEO and executives’ ability to lead and manage the organization effectively:

    + Maintain calendar and schedule for executives
    + Coordinate and book meetings and appointments, arranging sessions with multiple parties and groups
    + Manage all aspects of organization’s office services.
    + Evaluate and assist in developing office policies and procedures for improved work flow and anticipate future needs as organization grows.
    + Collect and prepare information, agendas, and presentations for meetings with internal staff and outside parties
    + Coordinate and book travel, compile documents for travel-related meetings, and manage expense reports
    + Design, produce and update complex documents, reports, slide decks, and presentations for the CEO and Executive team
    + Assists with board presentations, associated reporting needs for the board in addition to managing requests from outside investors
    + Coordinate executive-level meetings and company-wide meetings/town halls as needed. 
    + Assist in planning for key company events and meetings: all hands, sales kickoff, team retreats, holiday parties etc
    + Research, prioritize, and follow up on issues and concerns directed by executives, including those of a sensitive or confidential nature. Assist in the appropriate course of action or response with the CEO
    + Provide hospitality to all guests and help to create a welcoming environment.
    + Provide general administrative/backup support, including covering reception and phone lines, welcoming guests and customers, scheduling conference rooms, and collecting mail, packages, or supplies
    + Assist with special projects and manage deliverables in support of department initiatives 


Qualifications

  • + 5+ years of experience as a high performing Executive Assistant reporting directly to senior management or executives
    + Advanced GSuite skills (especially slide decks, docs and Excel), with an ability to become familiar with firm-specific programs and software
    + Strong organizational, project management, and problem-solving skills with impeccable multi-tasking abilities
    + Proficiency in cross-departmental collaboration
    + Ability to handle an unstructured, rapidly changing environment
